This guide walks you through creating a new gig in Soundcheck, from basic details to a fully staffed event.

Step 1: Basic information

Event title

Give your gig a clear, descriptive name:
  • ✓ “Johnson Wedding Reception”
  • ✓ “Blue Note Jazz Club - Friday Night”
  • ✗ “gig” or “event”

Event type

Select the category that best describes this engagement:
  • Wedding
  • Corporate Event
  • Club/Bar
  • Festival
  • Private Party
  • Concert
  • Rehearsal
  • Other

Date and time

Set when the event takes place:
  • Date — Select from the calendar picker
  • Start Time — When your involvement begins
  • End Time — When your involvement concludes
Times are stored in your organization’s timezone. Make sure this is configured correctly in Settings.

Step 2: Venue information

Venue name

Enter the name of the location:
  • “The Grand Ballroom”
  • “Riverside Country Club”
  • “Smith Family Residence”

Address

Use the address search for automatic location lookup:

Type Address

Start typing the address.

Select Suggestion

Select from Google Places suggestions.

Auto-save

Map coordinates are saved automatically.
Benefits of using address search:
  • Accurate map integration
  • Driving directions for team members
  • Consistent venue records

Location notes

Add helpful details about the venue:
  • Parking instructions
  • Load-in entrance location
  • Contact person at venue
  • Access codes or special instructions

Step 3: Event details

Description/notes

Add any information your team needs to know:
  • Dress code requirements
  • Special requests from the client
  • Equipment notes
  • Performance guidelines

Event status

Choose the initial status:
  • Draft — Still planning, not finalized
  • Confirmed — Event is definite, ready to staff
Start with Draft while gathering details, then change to Confirmed when ready to send invitations.

Step 4: Save your gig

Once basic information is complete:

Review

Review all entered details.

Save

Click Save or Create Gig.

Detail Page

You’ll be taken to the gig detail page.
What happens next:
  • Gig appears in your calendar
  • You can now add team members
  • Timeline and attachments become available

Setlist

Link a setlist to this performance:

Navigate

Go to the Setlist section of the gig.

Select

Select an existing setlist OR create new.

Access

Setlist is now accessible from gig detail.

Creating from existing gigs

Save time by duplicating similar events:

Open Gig

Open an existing gig.

Actions

Click Actions menu (three dots).

Duplicate

Select Duplicate Gig.

Modify

Modify details for the new event.

Save

Save.
What gets duplicated:
  • Basic event details
  • Team configuration
  • Timeline template
  • Setlist assignment
What you need to update:
  • Date and time
  • Venue (if different)
  • Specific notes for this event

Using call lists

Speed up team assignment with saved configurations and call order priority:

Create Gig

Create gig with basic details.

Apply Call List

In Team section, click Apply Call List.

Select List

Select your call list.

Populate

All positions and primary members are populated.

Adjust

Adjust as needed for this specific gig.

Troubleshooting

Enter the address manually. You can still add the venue name and location notes.

Need to change the date after creating?

Open the gig, click Edit, and modify the date. Team invitations may need to be resent if the date changes significantly.

Accidentally created wrong gig?

You can delete draft gigs immediately. For confirmed gigs, consider archiving instead to preserve history.
