Converting leads is available on Team and Enterprise plans for organizations with CRM features enabled.
Use Convert to Gig when a lead becomes a real booking that should live in your gig workflow. Conversion is available on Pending leads that don’t already have a gig.

What conversion creates

Conversion connects your CRM pipeline and gig management in one step:
  1. A new gig is created, pre-filled from the lead — its title becomes {event type} - {name} (for example, “Wedding - Jane Smith”), and the date, location, and the client’s contact details and message are carried over into the gig notes.
  2. Soundcheck creates or reuses a customer record for the client.
  3. A primary contact is created from the lead’s contact information.
  4. The customer is linked to the new gig.
  5. The lead is marked Completed and shows Gig Created and Customer badges that link to what it produced.
One action produces both a customer relationship and a gig, so your booked-work history and CRM stay connected from the start.

Convert a lead

Open the lead

On the Sales → Leads pipeline, open the pending lead — or use Convert directly on its card.

Review the pre-filled gig

The gig form opens pre-populated from the lead. Adjust the title, date, event type, location, and notes as needed.

Create the gig

Confirm to create the gig, customer, and contact together. Soundcheck takes you to the new gig’s detail page.
After conversion, continue setup from the gig: add crew, setlists, tasks, a venue, contracts, and payment details.

Customer matching

Where possible, Soundcheck reuses an existing customer for the lead’s contact information rather than creating a duplicate. If no match exists, conversion creates a new customer and primary contact.

What doesn’t happen automatically

Conversion does not:
  • Send invitations or notify crew
  • Collect payments
  • Finalize setlists or tasks
Use the normal gig workflow after conversion to finish preparing the event.

Where HubSpot- and Flex-sourced opportunities fit

Leads created through Create Lead and your public intake form flow through the pipeline described above — you review them and convert the qualified ones by hand. Opportunities that originate in HubSpot or Flex take a different path. Through the HubSpot ↔ Flex pipeline, an inquiry that becomes a deal or quote is synced (via n8n) and can open a draft gig directly, with its status kept in lockstep as the deal advances — so those don’t wait in the Leads pipeline for a manual convert. Use the Leads pipeline for inbound inquiries you manage in Soundcheck; use the HubSpot ↔ Flex pipeline when your sales process already lives in those systems.
