Gigs are the heart of Soundcheck. Whether you call them events, shows, or performances, the Gigs feature helps you plan, organize, and execute every aspect of your engagements.

What is a gig?

A Gig represents any scheduled performance or event. It’s your central hub for all information related to that engagement:
  • When — Date, start time, end time
  • Where — Venue name, address, map location
  • Who — Team members assigned to positions
  • What — Setlist, timeline, attachments
  • Status — Draft, active, or template

Gig lifecycle

Every gig follows a user-facing lifecycle:

Draft

The planning phase. You’re building out details, assembling your team, and preparing materials. Invitations may or may not be sent.

Active

The event is ready for normal gig workflows. You can manage invitations, notifications, team assignments, resources, setlists, and payouts.

Template

A reusable gig structure that creates new draft gigs.

What you can do with gigs

Store all the information your team needs:
  • Event title and description
  • Event type (wedding, corporate, club, festival, etc.)
  • Detailed venue information with map integration
  • Custom notes and instructions
Assign the right people to every position:
  • Select from organization members or add external contacts
  • Set performance fees and payment terms
  • Track invitation responses in real-time
  • Use call lists for quick assignment with backup options
Pay accepted team members from the gig:
  • Review eligible unpaid payouts before sending
  • Choose a saved organization funding method
  • See card or ACH platform fee details before confirming
  • Track processing, paid, failed, and action-required states
Create detailed timelines:
  • Load-in and sound check times
  • Set times and breaks
  • Custom schedule items
  • Notes for each timeline entry
Keep everything in one place:
  • Contracts and agreements
  • Stage plots and technical riders
  • Venue maps and directions
  • Promotional materials

Web vs Mobile

Both surfaces show the same gig data. The build-and-configure work lives best on the web; the in-the-moment work lives on mobile.

Best practices

Plan ahead

Create gigs as soon as you have basic details. Add more information as it becomes available.

Use consistent naming

Develop a naming convention for easy searching:
  • “2024-03-15 - Smith Wedding - Grand Ballroom”
  • “Corporate - TechCorp Annual Gala”

Complete team assignments early

Send invitations with enough lead time for your team to respond and plan.

Leverage templates

Use call lists and duplicate past gigs to save time on similar events.

Keep files organized

Upload contracts and stage plots as soon as you receive them. Your team will thank you.
