Portal invitations are sent from a customer’s detail page and require the client portal to be enabled for your organization. If you don’t see the invite actions, contact support.
You invite a client into the portal from their customer record — specifically, from their primary contact. Before you send anything, you can preview exactly what they’ll see.

Before you invite

A customer can be invited once it has a primary contact with an email address. If a customer has no primary contact yet, add one (or fill in the contact’s email) from the customer’s detail page first.

Open the customer

Go to Sales → Customers and open the client. On the Overview tab, find the Primary Contact card.

Choose Preview portal

Select Preview portal. It opens the portal in a new tab, exactly as this contact would see it.
Preview mode shows a clear “Admin preview” banner and disables the client’s action buttons — you’re looking, not signing or submitting on their behalf. Portal contacts always sign in separately. Use preview to confirm the right events, contracts, and forms are shared before you send an invite.

Choose Invite to portal

On the same Primary Contact card, select Invite to portal.

Soundcheck emails the contact

The primary contact receives a secure invitation to set up their portal sign-in. You’ll see a confirmation that the invitation was sent.
The invite goes to the customer’s primary contact, not the customer record as a whole. To invite a different person, make them the primary contact first.

What happens when a client accepts

They sign in

The client follows the invitation to the portal sign-in and creates their account. Sign-in is handled securely — each client has their own credentials.

Their account is linked to your CRM

On first sign-in, Soundcheck binds their account to the primary contact and its customer record. This step is safe to repeat, so a client who revisits the link isn’t affected.

They land on their dashboard

From then on, the client sees only their own customer’s events, contracts, invoices, and forms.

Managing access

  • Re-sending an invite — If a client can’t complete their invitation, send it again from the same Invite to portal action.
  • What the client controls — From the portal’s Settings, the client can review the contact information you have on file and sign out of their session.
  • What you control — Access follows the CRM. A client sees an event only when it’s linked to their customer record, and forms only when they’re assigned to that customer or event. Manage the mapping from the customer and gig records.
Because a client’s portal is scoped to one customer record, double-check you’re inviting the right contact on the right customer — use Preview portal first so you know exactly what will be shared.
