Every gig involves documents, schedules, and reference materials. Soundcheck centralizes these files and provides timeline tools so your entire team knows what’s happening and when.

Attachments

Store and share all files related to a gig in one central location.

What to attach

Common attachment types:

Uploading files

  1. Open your gig’s detail page
  2. Navigate to the Attachments section
  3. Click Upload or drag files into the area
  4. Add an optional description
  5. File is uploaded and available
Supported file types:
  • Documents: PDF, DOC, DOCX
  • Images: JPG, PNG, GIF
  • Spreadsheets: XLS, XLSX
  • Other: Most common file formats
File size limits:
  • Individual files: Up to 25MB
  • Total per gig: Varies by subscription tier

Managing attachments

For each uploaded file, you can:
  • View — Preview directly in browser (images, PDFs)
  • Download — Save to your device
  • Edit Description — Update file notes
  • Delete — Remove the attachment

Timeline / Schedule

Create a detailed day-of schedule so everyone knows what’s happening and when.

What is a timeline?

A timeline breaks down the gig into time-based segments:
2:00 PM - Load-in begins
3:00 PM - Sound check
4:30 PM - Band dinner break
6:00 PM - Doors open
7:00 PM - First set (45 min)
7:45 PM - Break (15 min)
8:00 PM - Second set (60 min)
9:00 PM - Load-out

Creating timeline items

  1. Open your gig’s detail page
  2. Navigate to the Timeline section
  3. Click Add Item
  4. Enter details:
    • Name — What’s happening (“Sound Check”)
    • Start Time — When it begins
    • End Time — When it ends
    • Notes — Additional details
  5. Save the item

Editing the timeline

Reorder items:
  • Drag and drop to rearrange
  • Items automatically sort by start time
Modify existing items:
  • Click any item to edit
  • Update times, names, or notes
  • Save changes
Remove items:
  • Click the delete icon on any item
  • Confirm removal

Timeline best practices

Instead of “Setup,” use “Stage Setup” and “Sound Check” as separate items.
Add realistic breaks between activities:
  • 15 minutes between sound check and doors
  • Transition time between sets
Include who to find during each segment:
  • “Sound Check - Contact: Dave (House Sound)”
  • “Load-in - Meet: Sarah at Loading Dock B”
Don’t forget:
  • Band dinner times
  • Crew meal breaks
  • Client/vendor meals if relevant

When assigned to a gig, team members can view:
  • All attachments uploaded
  • Complete timeline
  • Any notes or descriptions

Download all

Team members can download all attachments at once:
  1. Open the gig
  2. Go to Attachments section
  3. Click Download All
  4. Receives ZIP file with all documents

Mobile access

Team members can access attachments and timeline from mobile devices, perfect for reference on-site.

Integration with other features

Setlist connection

Your timeline can reference setlist information:
  • “7:00 PM - First Set (see setlist for song order)”
  • Duration calculations help with timeline accuracy

Team assignments

Timeline items can note position responsibilities:
  • “5:00 PM - Sound Check (Sound Engineer leads)”
  • “9:00 PM - Set 2 begins (full band)“

Notifications

Team members receive notifications when:
  • New attachments are uploaded
  • Timeline is modified significantly
  • Important time changes occur

Tips for success

Upload files early

Don’t wait until the day before. Upload contracts when signed, stage plots when received.

Version control

If you update a document, consider:
  • Naming with version: “StageLayout_v2.pdf”
  • Removing outdated versions
  • Noting changes in description

Keep descriptions clear

Good: “Venue stage plot showing power locations” Bad: “document1.pdf”

Review timeline day-of

Before arriving, check the timeline for:
  • Any last-minute changes
  • Contact information
  • Special notes
