Soundcheck gigs move through a small set of user-facing states. These states determine whether a gig is still being prepared, ready for normal workflows, or reusable as a template.

Lifecycle at a glance

States

Draft

A draft gig is still being prepared. Use drafts while details are incomplete or while you are reviewing a gig created from a template. Drafts are useful before:
  • Sending invitations
  • Requesting availability
  • Finalizing crew
  • Sharing setlists or tasks
  • Confirming payment details

Active

An active gig is ready for normal gig workflows. Once active, you can use notification and invitation actions, manage team assignments, track resources, and continue operational work.

Template

A template is a reusable gig structure. Templates are created from existing gigs and are used to create new draft gigs. Templates are best for recurring event formats, repeat clients, standard production packages, or any show type with a familiar structure.
Template access depends on the gig-templates feature flag. Contact support if you expect to see templates but do not.

Permissions

Owners, admins, and gig coordinators can manage gig lifecycle actions when the relevant feature is enabled. Template save/use is additionally controlled by the gig templates feature.

What copies from templates and duplicates

When a gig is duplicated or created from a template, Soundcheck can copy:
  • Gig schedule and timing, rebased to the new date
  • Setlists and songs
  • Task phases and tasks
  • Venue and resource details
  • Crew invitation structure
  • Notes and payment setup where applicable
Copied invitations remain pending and unsent until you decide to send them.
