> ## Documentation Index > Fetch the complete documentation index at: https://docs.soundchecklive.io/llms.txt > Use this file to discover all available pages before exploring further. # Glossary > A comprehensive reference of terms used in Soundcheck Quick reference for terminology used throughout the Soundcheck platform. *** ## A ### Active A user-facing gig status for events that are ready for normal gig workflows such as team management, invitations, notifications, resources, and payments. ### Addressable Channel An email address or phone number on a person — the minimum identity Soundcheck needs to deliver an invitation. During [operator imports](/features/imports/overview), member rows without either an email or a phone are silently skipped because no invitation can be sent. ### Admin A user role with elevated permissions in an organization. Admins can manage gigs, setlists, teams, and members, but cannot access billing or delete the organization. See [Roles & Permissions](/organization/roles-permissions). ### Archived A legacy terminal state you may see on older gigs that were filed away. Current gigs finish their life as [Settled](#settled) or [Cancelled](#cancelled); archiving is no longer part of the standard flow. Where the close-out checklist is enforced, archiving is gated the same way settling is. ### Assignment The connection between a person and a position for a specific gig. When you assign someone to a position, you create an assignment. ### Availability Request A scheduling request asking selected members whether they are available for a day or time window. Responses update the member's availability calendar. ### Attachment A file uploaded to a gig for team reference. Common attachments include contracts, stage plots, and venue maps. Attachments can also be pinned to [run of show](#run-of-show) items. See [Files](/features/files). *** ## B ### Backup (Call Order) A secondary assignee for a gig position who may be contacted if the primary assignee declines. Set using call order numbers. ### Billing Cycle The recurring period for subscription payments. Options typically include monthly or annual billing. ### Booking Page A public web page for your organization where potential clients can learn about your services and submit inquiries. See [Booking Page](/features/user-guide/booking-page). *** ## C ### Calendar The visual schedule view in Soundcheck showing all gigs in month, week, or list format. See [Calendar](/features/calendar). ### Call Order The priority ranking for position assignments. Call order 0 is primary; higher numbers are backups who receive invitations if earlier assignees decline. ### Call List A saved configuration of positions and assigned members with priority ordering (call order) that can be quickly applied to new gigs. Define primary and backup members for each position. Pro tier feature. See [Call Lists](/organization/teams/call-lists). ### Calendar Feed A private iCal subscription URL that lets a user see Soundcheck gigs in Apple Calendar, Google Calendar, Outlook, or another calendar app. ### Cancelled A terminal gig status for a show that was called off. The gig is preserved for your records but marked as never having happened, and payouts not yet initiated are stopped. Cancelling is available from Draft or Active, cannot be undone, and — unlike settling or archiving — is never gated by the [close-out checklist](#closeout-checklist). ### Chat Per-gig threads and direct messages inside Soundcheck. Gig threads live on each gig's page and are visible to staffed members + admins; direct messages are private to participants. See [Chat](/features/chat/overview). ### CheckAI Soundcheck's AI assistant. It reads and acts on your live-event data through the same [MCP server](/integrations/mcp-server) that powers Claude Code and Cursor, and powers [AI file ingestion](/features/ai/file-ingestion). The conversational assistant on Slack is rolling out. See [CheckAI](/features/ai/overview). ### Client Portal A dedicated workspace where your invited clients see their own events, contracts, invoices, forms, and a message thread with your team — without joining your organization. Clients are invited from their customer record. See [Client portal](/features/client-portal/overview). ### Closeout Checklist The six-step checklist on a gig's Closeout tab tracking the business back-half of an event: contract signed, quote approved, deposit received, invoice sent, payment received, and feedback logged. Tracking-only by default; organizations can opt in to **enforce close-out gates**, which locks settling and archiving behind the blocking steps (owners and admins can override with a logged reason). See [post-event closeout](/features/gigs/closeout). ### Completed A gig status indicating the show has happened and the gig has moved into [closeout](/features/gigs/closeout), ahead of being [settled](#settled). ### Contract An event agreement sent for e-signature (via SignWell) and tracked on the gig through a DRAFT → SENT → SIGNED/DECLINED lifecycle. See [Contracts & e-signatures](/features/contracts/overview). ### Crew Offer A staffing offer for an open shift or direct job offer. Accepted crew offers can add a member to a gig and create payable ledger items. ### Customer A person or business that books your organization. Customers are tracked in the CRM and can be linked to gigs. *** ## D ### Dashboard The former landing page, now retired in favor of [Home](#home). In current Soundcheck, "dashboard" refers to the [client portal's](#client-portal) landing page for invited clients. ### Draft A gig status for events still being planned before they are published as active. ### Duration The length of time for a song, set, or entire setlist. Soundcheck automatically calculates set and setlist durations from individual song durations. *** ## E ### Mailbox The unified inbox at `/engagements` where invitations, crew offers, availability checks, and onboarding prompts land. Every member has a personal **My Mailbox**; owners, admins, and gig coordinators also get **Mailbox** at `/org-engagements` for an org-wide view. See [Mailbox](/features/engagements/overview). Also called **Engagement** in older docs and API paths — the same product surface, renamed in the UI. ### Engagement Legacy alias for [Mailbox](#mailbox). An umbrella term for any actionable item awaiting a response: an [invitation](#invitation), a [crew offer](#crew-offer), or an [availability request](#availability-request). All share the same statuses and live in My Mailbox at `/engagements`. ### Event Another term for a gig. See [Gig](#gig). ### External Contact A person invited to a gig who does not have a Soundcheck account. They receive invitations via email only and have limited platform access. *** ## F ### Fee Notes Additional information about a performance fee, such as payment terms, deposit requirements, or special conditions. ### Free Plan The entry-level Soundcheck subscription with core features including gig management, setlists, and basic team coordination at no cost. *** ## G ### Gig A scheduled performance or event managed in Soundcheck. Gigs include details like date, time, venue, team assignments, setlists, and attachments. See [Gig Management](/features/gigs/overview). ### Gig Coordinator An organization role for users who can manage gig operations, setlists, teams, call lists, availability requests, and CRM operations without access to billing, P\&L, payouts, or member administration. *** ## H ### Home The personalized landing page after sign-in. Home greets you by name and shows a getting-started card while you're setting up, then your day-to-day picture: stat tiles, recent activity, upcoming work, and (for admins with finance access) a finances summary. Home replaced the retired Dashboard. *** ## I ### Ingestion (AI file ingestion) Turning unstructured gig paperwork — contracts, call sheets, riders, emails — into structured records you review before committing. CheckAI extracts the proposals; you approve what's written. Produces the same [Universal Event Format](#universal-event-format-uef) as imports. See [AI file ingestion](/features/ai/file-ingestion). ### Ingestion Batch A container, scoped to one gig, for the files you drop into an ingestion. Each file is analyzed independently; the batch can then [merge](#merge-ingestion) the per-file proposals into one combined draft. ### Invitation A request for someone to join an organization or participate in a gig. Organization invitations add members; gig invitations assign people to positions. See [Invitations](/organization/invitations). ### Invitation Status The current state of an invitation: Pending, Accepted, Declined, Tentative, Expired, or Revoked. ### Inventory Assignment A link between an inventory item and a gig, person, or operational use case. Assignments help track where gear or assets are expected to be. *** ## K ### Key The musical key of a song (C, Am, F#, etc.). Tracked in the song library to help with setlist planning and preparation. *** ## L ### Lead A potential booking opportunity or inquiry tracked in Soundcheck. Available on Team and Enterprise plans. See [Lead Tracking](/crm/leads/overview). ### Lead Status The current stage of a lead in the sales pipeline: New, Contacted, Qualified, Negotiating, Won, or Lost. ### List View A calendar display option showing gigs in a chronological scrollable list rather than a visual calendar. *** ## M ### Media Link A URL attached to a song pointing to external resources like chord charts, lyrics, audio files, or video references. ### Member A person who belongs to a Soundcheck organization. Also refers to the basic user role with limited permissions. See [Members](/organization/members). ### Merge (Ingestion) The optional step in [AI file ingestion](/features/ai/file-ingestion) that combines the proposals from several files in a [batch](#ingestion-batch) into one draft — deduplicating overlaps and flagging conflicts. Each merge carries a **merge version**; committing a batch must echo the version you reviewed, so a re-merge re-gates the commit. ### Month View A calendar display option showing all gigs within a calendar month grid. *** ## N ### Notification An alert informing you of important events like gig invitations, response updates, or schedule changes. Delivered in-app and/or via email. See [Notifications](/features/user-guide/notifications). *** ## O ### Organization The foundational unit in Soundcheck representing your band, company, or act. All gigs, setlists, teams, and settings belong to an organization. See [Organization Setup](/organization/setup). ### Owner The highest permission level in an organization with full control including billing, settings, and the ability to delete the organization. *** ## P ### Pending A status indicating something is awaiting action. A pending invitation hasn't been responded to; a pending gig may need confirmation. ### Performance Fee The compensation amount for a team member's participation in a gig, specified when making assignments. ### Portal Form A client-facing intake form (built in JotForm or Form.io) connected to Soundcheck. Responses route to the right customer or event by purpose — lead intake, event questionnaire, feedback, or general. See [Portal forms](/crm/integrations/portal-forms). ### Position A defined functional role within an organization that can be assigned for gigs or member profiles, such as Lead Vocals, Drums, or Sound Engineer. See [Positions](/organization/teams/positions). ### Proposal A single record that [AI file ingestion](/features/ai/file-ingestion) extracts from a file — a schedule item, crew member, ledger item, lead, or event field — that you review and select before it's committed to the gig. ### Pro Plan The mid-tier Soundcheck subscription including call lists and dashboard analytics. ### Profile Your personal information and settings in Soundcheck, including name, photo, contact info, and position preferences. See [Your Profile](/features/user-guide/profile). ### Proof of Work Soundcheck's term for verified prior contribution that accrues to a member's profile through actual gig history rather than self-reported credentials. Foundational to the [Soundcheck Thesis](https://www.linkedin.com/pulse/soundcheck-thesis-steven-tran-8zpyc/). ### Push Notification Native mobile alerts delivered to iOS and Android devices for time-sensitive events: invitations, crew responses, chat mentions, gig changes. Per-category toggles live in [Notifications](/features/user-guide/notifications); enable and troubleshoot at [Push notifications](/features/mobile/push-notifications). *** ## R ### Reputation Graph The computed history of who has worked with whom, on which gigs, and with what outcome — the foundation of trust-based coordination in Soundcheck. Reputation is a function of verified history, not self-reported claims. See the [Soundcheck Thesis](https://www.linkedin.com/pulse/soundcheck-thesis-steven-tran-8zpyc/). ### Role A permission level defining what a user can do in an organization: Owner, Admin, Gig Coordinator, or Member. ### Run of Show A gig's show-day rundown — the evolution of the old timeline. It holds every timed item (load-in, soundcheck, sets, strike) alongside songs, instructions, notes, and attachments, and exports to PDF with selectable views and fields. Lives at the top of the gig's Details tab. See [Run of show](/features/gigs/run-of-show). *** ## S ### Settled The final gig status: every crew payable has cleared and the gig is closed on the books. Reached from [Completed](#completed) during [closeout](/features/gigs/closeout). ### Settlement The closeout step that confirms all crew payables on a gig have been paid, after which the gig can be marked [Settled](#settled). See [Post-event closeout](/features/gigs/closeout). ### Seat Limit The cap on how many members an organization can have, set by its plan (or a custom arrangement). Invites that would push the organization past the cap are blocked up front, with a message showing the limit and current member count. Gig invitations to external contacts don't consume seats. See the [billing FAQ](/faq/billing#seat-limits). ### SignWell The e-signature provider behind Soundcheck [contracts](#contract). On enterprise plans, branding is applied per organization so contracts sign under your own brand. See [white-label branding](/features/contracts/white-label-branding). ### Sponsor A person or organization that supports events, seasons, or campaigns financially or in kind. ### Sponsor Commitment An agreed sponsor contribution, such as cash, goods, or services. Sponsor commitments are financial records visible to owners and admins. ### Set A grouping of songs within a setlist, typically representing a performance segment (e.g., "Opening Set," "Acoustic Set"). See [Building Setlists](/features/setlists/building-setlists). ### Setlist An organized collection of songs arranged for a performance, divided into sets with order and timing information. See [Setlist Management](/features/setlists/overview). ### Song An entry in your organization's song library containing title, artist, duration, key, tempo, and media links. ### Song Library Your organization's central repository of all performable songs. See [Song Library](/features/setlists/song-library). ### Status The current state of an item. A gig moves through the lifecycle Draft → Active → Completed → Settled, with [Cancelled](#cancelled) and [Archived](#archived) as standalone terminal states, plus Template for reusable structures. Invitation statuses include Pending, Accepted, Declined, and Tentative. See the [event lifecycle](/reference/event-lifecycle). ### Subscription Your Soundcheck payment plan (Free, Pro, or Team) determining available features. See [Subscription Plans](/subscriptions/plans). *** ## T ### Team The group of people assigned to work a specific gig, or generally the people in your organization. ### Team Plan The highest Soundcheck subscription tier including lead tracking, multiple admins, and priority support. ### Template A reusable gig structure created from an existing gig. Templates are used to create new draft gigs. ### Tempo The speed of a song measured in beats per minute (BPM). Tracked in the song library. ### Tentative An invitation response indicating possible but not confirmed availability. ### Timeline The original schedule-of-activities view for a gig day, since evolved into the [run of show](#run-of-show). Older gigs may still display their timeline. See [Run of show](/features/gigs/run-of-show). ### Tour A folder that groups related gigs on the Gigs page so a run — a routing, a festival season, a residency — can be managed as a whole, with a financial roll-up (revenue, payouts, net) across every gig inside. Removing a gig from a tour or deleting the tour leaves the gigs themselves untouched. See [Tours](/features/gigs/tours). *** ## U ### Universal Event Format (UEF) The canonical JSON shape that operator data is transformed into before it reaches Soundcheck's normalized tables. The wizard at `/imports`, partner sync feeds, and [AI file ingestion](/features/ai/file-ingestion) all emit UEF, so they share writer semantics and dedup behavior. See the [UEF reference](/features/imports/universal-event-format). *** ## V ### Venue The location where a gig takes place. The venue directory keeps a reusable record per room — address, contacts, notes, and load-in & access logistics (dock, elevator, parking, load-in path, access code) — with a detail page listing every gig at that venue. Enter logistics once and they carry to every gig there. See [Venues](/crm/venues). *** ## W ### Week View A calendar display option showing gigs within a seven-day period with time slots visible. ### White-label Branding An enterprise capability that sends [contracts](#contract) for signature under your organization's own logo and colors, via a dedicated per-org SignWell Application.
