# QuickBooks

> Connect QuickBooks Online so your Soundcheck payouts and income sync automatically for reconciliation.

Connect **QuickBooks Online** to Soundcheck and your gig finances flow into your books automatically. Every payout you send and every payment you collect becomes a matching QuickBooks entry, so month-end reconciliation stops being a manual re-entry job.

<Info>
  QuickBooks is a **finance integration** available on plans that include gig finances (or white-label). If you don't see it, the connection is hidden for your organization — talk to your account owner or [contact support](mailto:support@soundcheck.live) about enabling it.
</Info>

## What syncs

Soundcheck's gig **ledger** — the running record of what a show pays out and takes in — is the source of truth that syncs to QuickBooks:

| Soundcheck ledger item | QuickBooks entry |
| ------------------------------------------------------------ | ----------------- |
| Payouts and expenses (money going out — crew payouts, costs) | **Purchase** |
| Income and receivables (money coming in — client payments) | **Sales receipt** |

Each synced entry carries a reference back to its Soundcheck ledger item, so you can trace any QuickBooks line to the gig it came from. Soundcheck also imports your QuickBooks **chart of accounts** during setup so entries land in the right accounts. When a ledger item is voided in Soundcheck, the matching QuickBooks entry is voided too.

<Note>
  This is a **reconciliation** sync, not a payment rail. QuickBooks records what happened; the actual money movement still runs through Soundcheck's [payouts](/features/payments). Connecting QuickBooks never changes how or when anyone gets paid.
</Note>

## Before you start

* You need an **owner or admin** role in the Soundcheck organization.
* Your plan must include the finance integration (see the note above).
* You need a **QuickBooks Online** account with permission to authorize a connected app.

## Connect QuickBooks

<Steps>
  <Step title="Open Connections">
    In the web app, go to **Settings → Organization → Connections**. If the page redirects you away, the finance integration isn't enabled for your organization yet.
  </Step>

  <Step title="Click Connect QuickBooks">
    Find the **QuickBooks** card and click **Connect QuickBooks**. Soundcheck sends you to Intuit's secure authorization page.
  </Step>

  <Step title="Authorize on Intuit">
    Sign in to QuickBooks (if you aren't already), pick the company file to connect, and approve accounting access. Intuit sends you back to Soundcheck.
  </Step>

  <Step title="Confirm the connection">
    Back on the Connections page, the QuickBooks card shows a green **Connected** badge and the date you connected. From that point on, new ledger activity syncs automatically.
  </Step>
</Steps>

## Manage the connection

* **Check status** — the Connections page shows whether QuickBooks is connected and since when.
* **Disconnect** — click **Disconnect** on the QuickBooks card and confirm. Future payouts and income stop syncing to QuickBooks. Anything already synced stays in QuickBooks untouched. You can reconnect at any time.

## Troubleshooting

<AccordionGroup>
  <Accordion title="I don't see a QuickBooks card">
    The finance integration isn't enabled for your organization, or you're not an owner/admin. Confirm your role and ask your account owner about your plan.
  </Accordion>

  <Accordion title="The Connections page redirects me to Organization profile">
    That page only renders when your organization has the finance integration (or white-label) enabled. Without it, there's nothing to connect and Soundcheck sends you back to the profile settings.
  </Accordion>

  <Accordion title="An entry didn't land in QuickBooks">
    Confirm the connection still shows **Connected**, and that the ledger item exists on the gig. Entries sync as ledger items are created; re-open the connection status if a token expired and reconnect.
  </Accordion>
