# Crew scheduling for bands

> Schedule touring and local band crews across dates with tours, availability, call lists, subs, and offers

For crew scheduling for bands, Soundcheck puts the run in a tour folder, checks who is free, then fills each date from a call list (or a crew offer if the seat is still open).

This page is the band-shaped recipe. The longer product guides are [Managing a touring lineup](/features/availability/managing-touring-lineup) and [Managing a touring band's lineup](/faq/workflows/touring-band-lineup).

## Set up the run once

<Steps>
  <Step title="Make a tour folder">
    On Gigs, **New tour**. Every show you add rolls up **Revenue**, **Payouts**, and **Net**. See [Tours](/features/gigs/tours).
  </Step>

  <Step title="Stamp the dates">
    Create gigs in the tour (or duplicate a template). Location can wait. Unconfirmed venues should not block the calendar.
  </Step>

  <Step title="Ask availability before you lock a leg">
    On Team, send an [availability request](/features/availability/availability-requests) for the date range. Responses land on the [crew calendar](/features/availability/crew-calendar).
  </Step>

  <Step title="Save call lists per lineup">
    If leg 1 and leg 2 differ, make two lists with call order (first-call on top). Apply the right list to each gig. Call lists need Pro or Team. See [Call lists](/organization/teams/call-lists).
  </Step>
</Steps>

## When the lineup shifts

* **One person cannot make a date:** on the gig, replace them. The original invitation is revoked. The sub gets a new one.
* **You do not know the sub yet:** send an availability request to that position, or post a crew offer (Team) and let eligible people claim it.
* **A whole leg changes:** edit the call list, then re-apply it. Soundcheck updates positions where the member changed.
* **Time or city changes:** edit the gig. Confirmed members get a push. A different day or city prompts you to re-confirm.

Everything they need to answer is in [Mailbox](/features/engagements/overview) and on the phone.

## Local bands, same tools

You do not need a tour folder for a single Saturday. Create one gig and [staff it](/faq/workflows/how-to-staff-a-gig). Use a call list when the Saturday lineup repeats.
