# Teams & Invitations

## Inviting Members

  <Accordion title="How do I invite someone to my organization?">
    Go to organization **Settings** → **Members**, click **Invite Member**, enter their email, select their role, and send the invitation.

  <Accordion title="Why is my invite blocked?">
    Your organization is at its **seat limit**. Each plan caps organization membership, and the check counts current members plus the invites you're sending — so a blocked invite means the batch would push you over. You'll see exactly where you stand (e.g., *"Pro plan is limited to N users. You currently have X."*). Free a seat, upgrade, or ask about a custom limit.   <Accordion title="Can I invite someone without a Soundcheck account?">
    Yes! Use **External Contact** when assigning to a gig. Enter their name and email — they'll receive invitations via email and can respond without creating an account. External gig contacts don't consume organization seats.

  <Accordion title="How long do invitations last?">
    Organization invitations don't expire. Gig invitations remain active until the gig date passes or until you revoke them.

  <Accordion title="Can I resend an invitation?">
    Yes. Go to pending invitations, find the person, and click **Resend**. You can also revoke and create a new invitation.

## Assigning to Gigs

  <Accordion title="How do I assign someone to a gig?">
    Open the gig, go to the **Team** section on the Details tab, add positions, then select members for each position. They'll receive an invitation notification.

  <Accordion title="Can I stage gig invitations before sending them?">
    Yes. Invitations you line up on a roster start as **drafts** — the recipient sees nothing until you send. That lets you build out the whole team (or copy one from a template) and review it before anyone gets notified. Standby assignments are parked the same way until you promote them.

  <Accordion title="What happens if someone declines a gig invitation?">
    You're notified of the decline, and the position shows as unfilled. If you set a backup assignee (call order 2+), they may be notified automatically.

  <Accordion title="Can I assign the same person to multiple positions?">
    Yes! A team member can hold multiple positions on the same gig (e.g., Lead Vocals and Guitar).

  <Accordion title="How do I remove someone from a gig?">
    Open the gig, go to the Team section, find the assignment, and click Remove. They'll be notified of the change.

  <Accordion title="What's the difference between an invitation and a crew offer?">
    An **invitation** asks a specific person to fill a specific position. A **crew offer** posts an open shift or job that one or more eligible people can accept. Both land in each recipient's [Mailbox](/features/engagements/overview), and both count toward the gig's roster once accepted. See [team building](/features/gigs/team-building).

## Positions & Call Lists

  <Accordion title="How do I create positions?">
    Go to **Teams** → **Positions** and click **+ Add Position**. Enter the position name and optional description.

  <Accordion title="Are positions shared between my organizations?">
    No — positions are **scoped to one organization**. If you belong to several organizations, each keeps its own position catalog, and gigs only use positions from the organization they belong to. If you run similar operations in two organizations, define the positions in each.

  <Accordion title="What are call lists?">
    Call lists are saved team configurations with priority ordering (call order) that you can apply to new gigs with one click. Define primary members and backups for each position. Available on Pro and Team plans.

  <Accordion title="How do I create a call list?">
    Navigate to **Teams** → **Call Lists**, click **+ Create Call List**, add positions, assign primary and backup members with call order, and save. [Full guide](/organization/teams/call-lists)

  <Accordion title="What is call order?">
    Call order determines who gets invited first for a position. If the primary declines, the next person in the order is automatically invited.

## Roles & Permissions

  <Accordion title="What's the difference between Owner, Admin, and Member?">
    * **Owner**: Full control including billing and deletion
    * **Admin**: Can manage gigs, teams, setlists, and members
    * **Member**: Can view assigned gigs and respond to invitations

    There's also a **Gig Coordinator** role for day-to-day gig operations without billing, payout, or member-administration access. [Full details](/organization/roles-permissions)

  <Accordion title="How do I change someone's role?">
    Go to organization **Settings** → **Members**, find the person, click to edit, change their role, and save. Note: Only Owners can change Admin roles.
  </Accordion>

  <Accordion title="Can I have multiple Owners?">
    No, each organization has exactly one Owner. You can have multiple Admins with similar permissions, except for billing and ownership transfer.
