# Billing & Subscriptions

> Common questions about plans, seat limits, entitlements, payments, and subscription management.

Common questions about subscription plans, seat limits, upgrades, payments, and billing management.

## Plans & entitlements

<AccordionGroup>
  <Accordion title="What features are in each plan?">
    * **Free**: Gig management, setlists, basic teams, calendar
    * **Pro**: Everything in Free + call lists, larger member limits
    * **Team**: Everything in Pro + CRM (customers, venues, leads), multiple admins, priority support

    [Full comparison](/subscriptions/feature-comparison)
  </Accordion>

  <Accordion title="Which features are Team-plan only?">
    The CRM surface — the [customer directory](/crm/customers), the [venue directory](/crm/venues), [lead tracking](/crm/leads/overview), and related pipeline features — requires the Team plan. If you open one of these pages on a lower tier you'll see a plan notice rather than the feature.
  </Accordion>

  <Accordion title="Is there a free trial?">
    The Free plan is always free — you can run gigs, setlists, and a small team indefinitely without entering a card. Billing starts only when you upgrade to Pro or Team, and features unlock immediately when you do.
  </Accordion>

  <Accordion title="Do you offer annual billing?">
    Yes. Annual billing saves you money compared to monthly payments. Switch to annual in your subscription settings.
  </Accordion>
</AccordionGroup>

## Seat limits

<AccordionGroup>
  <Accordion title="What is a seat limit?">
    Each plan caps how many members an organization can have. When an invite would push you past the cap, Soundcheck blocks it and tells you where you stand — for example, *"Pro plan is limited to N users. You currently have X. Please upgrade to Team plan."* Your member page also shows current usage, like *"Pro plan: 12/15 users."*
  </Accordion>

  <Accordion title="I'm at my seat limit — what are my options?">
    Three options: remove members who no longer work with you, upgrade to a plan with a higher cap, or — for large operations — ask about a custom seat limit. Organizations with a custom arrangement see their own cap in the same messages instead of the plan default.
  </Accordion>

  <Accordion title="Do pending invitations count against the limit?">
    Yes — the check counts your current members **plus** the invites you're about to send, so a batch invite that would land you over the cap is blocked up front rather than failing halfway through.
  </Accordion>

  <Accordion title="Do gig invitations or external contacts use seats?">
    No. Seat limits apply to **organization membership**. Inviting an external contact to a single gig doesn't add them to your organization and doesn't consume a seat.
  </Accordion>

## Upgrading & downgrading

<AccordionGroup>
  <Accordion title="How do I upgrade my plan?">
    Go to **Settings** → **Subscription**, select your desired plan, and complete payment. Features unlock immediately.
  </Accordion>

  <Accordion title="Can I downgrade my plan?">
    Yes. Go to subscription settings and select a lower tier. The change takes effect at your next billing cycle, and you'll retain access to current features until then.
  </Accordion>

  <Accordion title="What happens to my data if I downgrade?">
    Your data is preserved. Features specific to higher tiers become read-only (e.g., you can view existing call lists but not create new ones on Free). If you're over the lower plan's seat limit, existing members stay — but you won't be able to invite more until you're back under the cap.
  </Accordion>

  <Accordion title="Can I upgrade in the middle of a billing cycle?">
    Yes! You'll be charged a prorated amount for the remainder of your current billing period.
  </Accordion>
</AccordionGroup>

## Payments & billing

<AccordionGroup>
  <Accordion title="What payment methods are accepted?">
    We accept all major credit cards (Visa, Mastercard, American Express) and debit cards. Payments are processed securely through Stripe.
  </Accordion>

  <Accordion title="Who manages billing?">
    Only Organization Owners can access and modify billing information.
  </Accordion>

  <Accordion title="How do I update my payment method?">
    Go to **Settings** → **Billing**, click on payment method, and enter your new card details.
  </Accordion>

  <Accordion title="Can I get a receipt for my payment?">
    Yes. Receipts are automatically emailed after each payment. You can also download past invoices from the Billing section.
  </Accordion>

  <Accordion title="What happens if my payment fails?">
    We'll notify you and retry the payment. If payment continues to fail, your subscription may be downgraded to Free after a grace period.
  </Accordion>

  <Accordion title="Is subscription billing the same as gig payouts?">
    No. Subscription billing pays for your Soundcheck plan. Gig payouts are member payments tied to a specific gig's performance fees.

    Organization owners manage subscription billing from **Settings** → **Billing**. Owners and admins with payment access manage gig payout funding methods from organization **Settings** → **Payments**.
  </Accordion>

  <Accordion title="Who pays Stripe fees for member payouts?">
    Members receive the full performance fee shown on the gig.

    Card-funded payouts show the configured platform fee before you confirm payment, and the organization absorbs that card-funded fee. ACH-funded payouts are free to the organization because Soundcheck absorbs ACH fees.
  </Accordion>

  <Accordion title="Why do I need a payout funding method?">
    A payout funding method is the saved bank account, card, or supported Stripe payment method used to fund member payouts. It does not change the organization's subscription billing payment method. Bank accounts used for payouts go through verification before they can fund a run — see [gig payments](/features/gigs/payments).
  </Accordion>

## Cancellation

<AccordionGroup>
  <Accordion title="Can I cancel anytime?">
    Yes. Monthly plans cancel with no commitment. Annual plans continue through the paid term.
  </Accordion>

  <Accordion title="Will I lose my data if I cancel?">
    No. Canceling downgrades you to the Free plan, and all your data is preserved. Premium features become read-only.
  </Accordion>

  <Accordion title="Can I get a refund?">
    Monthly subscriptions are non-refundable. For annual plans, contact support within 14 days of purchase for refund eligibility.
  </Accordion>
