# Lead tracking

> Capture booking inquiries, keep the pipeline organized, and convert qualified leads into gigs and customers.

A **lead** is a potential booking: an inquiry from someone interested in hiring your organization. The Pipeline page collects every inquiry — whether it came in through your public intake form or was added by hand — so nothing slips through the cracks between "they reached out" and "it's on the calendar."

## Open the pipeline

1. In the sidebar, open **Sales → Leads**.
2. Review inquiries, update them, or convert qualified leads to gigs.

The page opens on the **Leads** tab. A **Sponsors** tab sits alongside it for organizations that track sponsor relationships.

## Pipeline at a glance

The top of the page shows three metrics:

| Metric        | What it counts                         |
| ------------- | -------------------------------------- |
| **Leads**     | Total inbound requests                 |
| **Pending**   | Requests awaiting follow-up            |
| **Completed** | Requests that were converted or closed |

Filter the list by **All**, **Pending**, or **Completed**, and search by name, contact, location, or event type.

## What a lead tracks

Each lead record holds the details from the inquiry:

| Field           | Description                                 |
| --------------- | ------------------------------------------- |
| Name            | Who made the inquiry                        |
| Email and phone | How to follow up                            |
| Event type      | Wedding, corporate, private event, and more |
| Event date      | When the event might happen                 |
| Location        | Where the event may happen                  |
| Budget          | Expected budget or quoted amount            |
| Message         | The inquiry's own note or details           |

Open any lead to see its full details, when it was submitted, and its status.

## Lead statuses

Leads move through two states:

| Status        | Meaning                                                                               |
| ------------- | ------------------------------------------------------------------------------------- |
| **Pending**   | A new inquiry awaiting follow-up. Pending leads can be edited, converted, or deleted. |
| **Completed** | The lead has been converted to a gig (or otherwise closed).                           |

Once a lead is converted, its card shows a **Gig Created** badge that links to the gig and a **Customer** badge for the record it created.

## Add leads to the pipeline

### Create a lead manually

Use **Create Lead** when an inquiry arrives by phone, email, referral, or social media.

### Collect leads from public intake

Every organization gets a public intake form. Share it so prospects can submit booking inquiries without a Soundcheck login:

* **Open Intake Form** opens your public form in a new tab so you can share the link.
* **Copy Embed** copies an `<iframe>` snippet to drop the form straight into your own website.

  You can also collect inquiries through branded [portal forms](/crm/integrations/portal-forms) built in JotForm or Form.io — a form set to the **lead intake** purpose lands in this same pipeline.

### Convert a lead

When a lead becomes a real booking, convert it. Soundcheck creates the gig, creates or reuses a customer, adds a primary contact, and links that customer to the gig.

## Best practices

* Review pending leads regularly and follow up while interest is fresh.
* Add notes to the lead's message context after each conversation.
* Convert only once the event details are firm enough to create a gig.
* After converting, use [customers](/crm/customers) and [venues](/crm/venues) to keep repeat work organized.
